Which data we process

Data provided through the demo request form: name, organisation, role, e-mail address, phone number, type of organisation and the content of the message.
Data provided through the non-profit programme application: first name, last name, organisation, role, e-mail address and the description of the proposed project.
Data provided when requesting the compliance sheet: full name, e-mail address, body or organisation and role.
Browsing data: the site's systems automatically record some technical data (such as IP address, browser type, requested pages, date and time) whose transmission is inherent in the use of the Internet. They are needed for the site to work and stay secure.
Statistics, only with your consent: information on how pages are used, collected with Google Analytics and Microsoft Clarity, described in the Cookie policy.

Why we process them and on what legal basis

Answering demo or information requests and managing any resulting business relationship — legal basis: pre-contractual measures requested by the data subject.
Assessing applications to the non-profit programme and communicating the outcome — legal basis: pre-contractual measures requested by the data subject.
Sending the requested compliance sheet and, where useful, following up with the requester — legal basis: response to the data subject's request.
Keeping the site working and secure, including against automated submissions (spam) — legal basis: the controller's legitimate interest.
Analysing site usage in aggregate form to improve its content and usability — legal basis: consent, which can be withdrawn at any time.
Complying with legal obligations — legal basis: legal obligation.

How we process the data

Requests sent through the forms are delivered by e-mail to the Planet S.r.l. staff in charge of handling them. The forms are protected by anti-spam systems that do not share data with third parties. Processing is carried out with IT tools and appropriate security measures.

Who we share the data with

Data may be processed on our behalf, as data processors, by the providers of the site's IT and hosting services. Only with your consent, browsing data are processed for statistical purposes by Google Ireland Ltd (Google Analytics) and Microsoft Ireland Operations Ltd (Microsoft Clarity). Data may also be disclosed to the competent authorities where required by law and are not otherwise disseminated.

Transfers outside the European Union

Google and Microsoft may also process statistical data in the United States. Both companies participate in the EU-U.S. Data Privacy Framework, recognised as adequate by the European Commission; transfers take place with the safeguards provided for by the Regulation.

How long we keep the data

Request and application data are kept for as long as needed to handle them and, if a business or collaboration relationship follows, for its duration and for the period required by law. Statistical data are kept for a maximum of 14 months.

Your rights

You can exercise at any time the rights set out in articles 15-22 of the GDPR: access to your data and a copy of it, rectification or erasure, restriction of or objection to processing, portability, and withdrawal of consent without affecting processing already carried out. You also have the right to lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali).
